Payroll Guidelines and Schedules

Student payroll occurs every two weeks based on the student payroll schedule. The weekly student work period runs from Sunday to Saturday and student timesheets must be submitted for approval by 10:00 am every other Sunday. On the following Friday, students will either receive a check in their College mailbox, or if they have signed up for direct deposit, the money will be deposited into the designated bank account(s). 

 

If a student forgets to submit a timesheet for approval, they will be able to complete the timesheet, have their supervisor approve it, and get paid in the next pay period. Please note that all student workers are expected to submit their timesheets online by the due date. This allows employers to approve timesheets and allow the Business Office time to process them in order for students to be paid on time. 

 

  Student Wages

Student wage rates are set College-wide and are evaluated each calendar year to maintain accordance with state and federal law. As of January 1, 2020, the hourly rate is $10.96 for almost all student jobs. A few positions in which students carry supervisory responsibilities pay $11.50.

 

 Limits on Student Earnings

Students may work a maximum of 20 hours per week across all College jobs during the fall and spring terms. During the winter and summer periods, students may work up to 35 hours per week.

 

  Direct Deposit

We strongly encourage students to sign up for direct deposit. This avoids misplaced checks, having to go to the bank or bookstore to cash a check, filling out forms to have your final paycheck of each term forwarded to a summer/winter location, etc. To sign up for direct deposit, visit ADP and navigate to Myself > Pay > Payment Options. Direct deposit will take effect on the next pay period after you select the option.

 

  Student Worker Tax Information

The W-4 Form is used to determine how much (if any) tax should be withheld from a student’s pay. Bennington College also withholds Vermont state income taxes based on the W-4. Students are not automatically exempt from having income taxes withheld. Even Federal Work Study wages maybe taxable income. International students should check their country’s tax treaty status to determine if their earnings are exempt from US taxes. Students should direct questions regarding the W-4 and taxes to their families, an accountant, or the IRS. The tax assistance hotline is 1(800) 423-1040. 

In accordance with the Internal Revenue Code, the College provides all students with a W-2 (Wage and Tax Statement) at the end of each calendar year. This is sent by January 31 for the preceding calendar year’s earnings, and is available online in ADP under Myself > Pay > Annual Statements. W-2 forms from Bennington College should be used to file federal and state tax returns as applicable to a student’s individual case. A copy of the W-2 for current international students will also be mailed to their campus mailbox. It is the responsibility of the taxpayer to file the appropriate income tax forms annually.
